WedHQ Privacy Policy

Fullarton Group Pty Ltd (ABN 14620972143), trading as WedHQ ("WedHQ," "we," "us"), respects the privacy of the venues that use our platform and the couples who book tours through it. This policy explains what personal information we collect, how we use it, and who we share it with.
1. Who This Policy Covers
This policy applies to two groups of people: venues who create a WedHQ account, and couples who submit a tour booking or enquiry through a venue's WedHQ booking page.
2. What We Collect
From venues: your name, business name, contact details, venue details and photos, availability settings, and billing information (processed by Stripe, we don't store your full card details ourselves). If you connect a third-party calendar (such as Google, Apple, or Outlook), we access only the free/busy status of your calendar for the time ranges relevant to your tour availability. We don't read the titles, descriptions, or attendees of your calendar events.
From couples: the name(s), email address, phone number and any message provided when booking a tour or submitting an enquiry through a venue's page.
3. How We Use It
We use this information to operate the booking platform: to display your venue's availability, process and confirm tour bookings, send confirmation and notification emails, sync with a third-party calendar where connected, process subscription payments, and provide support if something goes wrong.
4. Who We Share It With
We share personal information only with the service providers that help us run WedHQ, and only for that purpose:
Stripe, to process subscription payments and, where applicable, any payments collected through the platform.
Our email provider, to send booking confirmations and notifications.
Third-party calendar providers (such as Google, Apple, or Outlook), only if a venue chooses to connect one, and only to check free/busy status.
Our hosting and database providers, to securely store and run the platform.
We do not sell personal information to anyone. A venue's booking and enquiry data is never shared with, or made visible to, any other venue on WedHQ. Couple information submitted through a venue's booking page is shared with that specific venue, since that's the whole purpose of the booking, but not with any other venue.
We may disclose information if required by law, or to protect the rights, safety or property of WedHQ, our users, or the public.
5. Data Storage and Security
We take reasonable technical and organisational steps to keep personal information secure, including relying on reputable infrastructure and payment providers who maintain their own security standards. No online service can guarantee complete security, but we work to protect information against unauthorised access, loss, or misuse.
6. How Long We Keep It
We keep account and booking information for as long as a venue's account is active, and for a reasonable period afterwards where needed for legitimate business, accounting, or legal purposes. A venue can request deletion of its account and associated data at any time, subject to what we're required to retain by law (for example, billing records).
7. Access and Correction
You can ask us to access, correct, or delete the personal information we hold about you by contacting us at hello@wedhq.com.au. We'll respond within a reasonable time.
8. Cookies and Analytics
Our website may use basic cookies or analytics tools to understand how the site is used and to keep you logged in. These don't identify you personally beyond your WedHQ account.
To speed up booking tours at multiple venues, the contact details you enter in a venue's booking form (names, email, and phone number) are saved in your own browser's local storage on your device, and used only to pre-fill booking forms on the same device. They are not shared with any venue until you submit that venue's form, and you can remove them at any time by clearing your browser's stored site data.
9. Children's Information
WedHQ isn't directed at children, and we don't knowingly collect personal information from anyone under 18 through the platform.
10. Changes to This Policy
We may update this policy from time to time. If we make a material change, we'll update the date at the top of this page and, where appropriate, let venues know by email.
11. Complaints
If you have a concern about how we've handled your personal information, please contact us first at hello@wedhq.com.au so we can try to resolve it. If you're not satisfied with our response, you can also contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
